Define the product technically
State the product name, required grade, concentration or key parameters, intended application and any applicable standard. Attach your specification or a previous approved COA when available.
Separate mandatory limits from preferred or typical values. If substitutions are acceptable, explain which parameters can vary and which cannot.
Describe the commercial requirement
Provide the trial quantity and expected recurring volume, with units. Include preferred packaging or supply format, required delivery window and the Incoterm if your procurement team has already selected one.
If the purchase supports a project or tender, state the decision timeline and whether samples, qualification batches or a factory audit are required before award.
Give the destination and logistics context
Share the destination country and port, plus any site restrictions that may affect the transport mode. Chemical classification, route availability and carrier acceptance can change the feasible supply plan.
Do not assume that a route used for one product will apply to another. The supplier should confirm current feasibility for the exact product and destination.
List every required document
Identify the product specification, COA, SDS/MSDS, certificates, inspection documents and destination-specific information your teams need. State whether third-party inspection is required and who will appoint the inspector.
A document request made after production or loading may cause delays. Align the document set before the order is confirmed.
